Adding subscribers to an EmailPlus rule
In the EmailPlusRule record type, you specify users and subscribers to the rule on two pages: To/CC Addresses and Subscribers.
- Fields
EmailPlus searches records that are referenced to for Reference to Users type fields. For example, if you have a reference to a project record that contains a field called ProjectMembers of the Reference to Users type, then this field would also be displayed as a Project.ProjectMembers option. When the EmailPlus rule is evaluated as TRUE, the Rational® ClearQuest® user who is identified in the selected fields receives a copy of the email notification as a primary recipient. - Groups
Everyone in each of the Rational ClearQuest groups that are specified receives an email notification as a primary recipient.
- Internet
Members who have the specified project roles receive an email notification when the rule is evaluated as TRUE. This capability is available when the Rational ClearQuest ProjectRoles package is installed in your schema. The project name is taken from the record that was just edited. The name used to find the role membership for the required project.
- Project role
You can enter Internet-style addresses for recipients who are not Rational ClearQuest users or who do not have a Rational ClearQuest login ID.
On the Subscription tab, you can configure EmailPlus so that users can subscribe to a rule. First create a subscription record for each site or replica that requires the subscription function. If no subscription records exist, the subscription function is not be available for that rule.
You can restrict who is allowed to subscribe to a rule by specifying that prospective subscribers must belong to a list of specified Rational ClearQuest user groups. This restriction is available to prevent users who cannot typically access a record because of Rational ClearQuest security settings from circumventing subscription settings and subscribing to a rule. This restriction only prevents a person from subscribing. It does not automatically remove them if the group memberships subsequently change. Removing a person from a group remains a manual operation. If no subscription groups are specified, anyone can subscribe.
To prevent users from subscribing to notifications that are associated with an individual record, either hide or restrict access to the Subscriber tab. If you leave the tab visible and do not create a Special Interest template, user subscription is refused.
If you created a Special Interest EmailPlus template for an enabled record type, users can subscribe to change notifications of individual records. If you have not created a Special Interest template, this type of subscription does not work.
